Personal information is information that can be used to identify you as an individual, or that can be combined with readily available information to identify you as an individual.
The main reasons we collect and store your personal and financial information are: to process your application, including license and credit history, bill you, respond to your questions, improve our products and services, and maintain your account with us.
A cookie is a small text file that a website places on your computer or mobile device when you visit the site. It enables the website to remember how you use it over a period of time, so you don’t have to keep re-entering information whenever you come back to the site or browse from one page to another. Many websites, including Orto.uk.com, also may use Flash cookies that are similar to regular browser cookies.
We store cookies and use them in a few ways.
You can control browser cookies through your browser's settings. You can control Flash cookies via the Macromedia Flash application on your computer, or by going to the Macromedia Flash Player website, which allows you to view, modify, and delete Flash cookies. You may delete cookies or set your browser to alert you when cookies are being sent. However, if you reject all browser or flash cookies, some areas of our sites may not work properly.
We collect information that you give us, such as your name, email address, postal address and telephone number. We may record or monitor telephone calls and emails between you and Orto, to help us with quality control, training and similar purposes.
If you apply to join Orto, we’ll need to collect personal information from you, including your name and contact details, and the last 8 digits of your driver's licence number.

We do not store this information on our servers and, once we make a decision on your application, we delete the information.
We’ll ask you to enter your details on the DVLA website to confirm that you are eligible to drive our cars and will be covered by the insurance. You’ll receive a single-use token, which you need to enter into our website, along with the last 8 digits of your driving licence.
We use that information to ask the DVLA for your licence status. We decide on your application immediately and, as the token is single-use, we’re not able to access your licence details after that.
If you join Orto and use our services, we collect information about your bookings (dates, times etc.) and your use of the Orto service (punctuality of returns, mileage, accidents, etc.).
We use this information to maintain your account with us, bill you for additional services, respond to your questions, and provide content and offers that we think may be of interest to you.

Cars owned through Orto may be equipped with Global Positioning System (GPS) vehicle tracking technology. GPS is a network of satellites that allows us to determine the location (latitude and longitude) of cars managed by us.
This information may be transmitted to Orto and temporarily stored. We use this information for a variety of important purposes. For example, we use GPS data to track the vehicle’s mileage, to provide roadside assistance when you need it, and to locate lost or stolen cars.
We do not actively track or monitor vehicle location and, although we record mileage data, we don’t store historical GPS data about vehicle location. We use GPS data only to determine the last reported location of cars.
Some built-in satellite navigation systems will store a history of destinations entered into it. In most cases, there will be an option to delete this information. We can assist you in doing this on request.
If you apply for Orto membership, some of the information you supply must be shared with the regulatory bodies and/or service providers we use to get your driving records. See 3.3.1 We only share the information necessary to approve your application.
Orto may disclose your personal information, including location/GPS data, in response to legal process (for example, a court order, search warrant or subpoena) or requests from law enforcement authorities; in other circumstances in which Orto believes the website, the Orto service or our vehicles are being or has been used in violation of the applicable law or otherwise in the commission of a crime; when we have a good faith belief that there is an emergency that poses a threat to the safety of you or another person; or when necessary to protect the rights or property of Orto or third parties.
We may use personal information to share Orto offers or offers from our business partners, but we do not share information that personally identifies you with those parties.
Cookies are text files that are placed in your computer's browser, and that can be used to help recognise you on the Orto websites. Web beacons are small pieces of code placed on web pages that can be used, among other things, to count the users who visit that web page, or to deliver a cookie to the browser of a user viewing that page. For more information about cookies, see 3.1.
Orto members can review and correct personal information by clicking on the ‘Log in’ button and updating your details. If you’d like to access, delete and/or correct other personal information we hold, please contact us in one of the ways provided below.
Under the UK Data Protection Act, you have the right to request a copy of the personal information we hold about you and have any inaccuracies corrected. We’ll charge a reasonable fee to make these changes, and will need two forms of approved proof of identity before we proceed.
We’ll keep your information for as long as your account is active or as needed to provide you services. Please contact us if you wish to cancel your account or ask us not to use your information to provide you services. We will keep and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
